The Perfect Email Structure

Follow this template for emails that get results:

  • Subject line: specific action + topic ("Meeting recap: Q3 budget decisions")
  • Opening: one sentence of context ("Following up on our call today...")
  • Body: the key information in 2-3 short paragraphs
  • Ask: a clear, single request with a deadline ("Could you review this by Thursday?")
  • Close: a brief sign-off ("Thanks, [name]")

Notice what is missing: small talk, over-explanations, and multiple requests. One email, one ask. If you have three things to request, send three short emails or use bullet points.
