The safest way to shift down is to copy the other person's tone for one exchange before changing your own. If a client writes "Hey!" you can reply with "Hey" — but if they write "Dear Mr. Johnson," do not fire back with "Yo!"

Mirroring buys you proof. Once they relax again, you know the looser tone landed and you can settle there together.
